Job Description

About Ikon Health

Ikon Health is a growing, primary care practice focused on providing medical care to older adults and homebound patients in the comfort of their homes.

Our team operates through a primarily remote model, using technology to coordinate scheduling, patient communication, clinical workflows, referrals, care management, billing, and provider support.

We are seeking an experienced, organized, and highly motivated Practice Manager to oversee the day-to-day operations of the practice and serve as a key leader between patients, providers, administrative staff, and leadership.

This is an excellent opportunity for someone who enjoys building systems, solving problems, leading people, improving processes, and creating an exceptional patient experience.

Position Summary

The Practice Manager will be responsible for the overall coordination and efficiency of Ikon Health's administrative and operational functions. They will oversee daily workflows, supervise administrative team members, support clinicians, monitor patient service issues, and ensure that tasks are completed accurately and on time.

The Practice Manager will be expected to be a hands-on operational leader rather than simply an administrative supervisor. The successful candidate will identify problems before they become significant issues, establish clear processes, hold team members accountable, and continuously look for ways to improve the patient and employee experience.

Because Ikon Health provides home-based care, the Practice Manager must be comfortable managing a distributed workforce and coordinating multiple moving parts without relying on a traditional medical office environment.

Key Responsibilities

  • Practice Operations: Oversee office-staff led daily administrative operations, scheduling, patient intake, care coordination, referrals, orders, and workflow management.
  • Staff Leadership: Provide support to the leadership team with hiring, training, supervision and coaching of remote administrative.
  • Patient Service: Serve as a primary escalation point for patient and family concerns; resolve customer service issues professionally and promptly while appropriately escalating clinical concerns to providers.
  • Scheduling & Access: Assist office staff with accurate scheduling, appointment coordination, provider utilization, waitlist management, and timely communication with patients.
  • Provider Support: Coordinate administrative needs for providers and ensure timely completion of tasks that support patient care.
  • Care Management: Oversee administrative workflows for chronic care management, remote patient monitoring, and other virtual care programs, including documentation and task completion.
  • Referrals & Records: Monitor referrals, orders, DME requests, medical records, and outside-provider communications through completion.
  • Compliance: Ensure staff follow HIPAA, practice policies, documentation requirements, and established healthcare workflows.
  • Performance & Improvement: Monitor KPIs, identify operational problems, develop solutions, and continuously improve efficiency, patient experience, and staff performance.
  • Vendor & Community Relations: Coordinate with vendors, healthcare partners, senior living communities, and referral sources; represent Ikon Health professionally at occasional community events.
  • Leadership Support: Partner with practice leadership on staffing, strategic initiatives, policy development, and growth of the organization.
  • Networking: Maintain existing relationships with partner facilities and external medical providers.

Work Environment

This position is primarily remote and requires the ability to work independently in a home-office environment.

The Practice Manager will regularly communicate with staff and providers through telephone, email, Microsoft Teams, Dialpad, Spruce Health, and other digital platforms.

Occasional travel throughout Montgomery and Howard County will be required for:

  • Staff meetings
  • Community networking
  • Senior living facility outreach
  • Healthcare partner meetings
  • Training
  • Special events

Travel is generally expected to be 10% or less.

Preferred Skills & Tools

  • Strong proficiency with:
    • eClinicalWorks (eCW)
    • Dialpad
    • Spruce Health
    • Microsoft Online (Teams, Outlook, SharePoint, OneDrive)
  • 3+ years of healthcare administration or practice management experience
  • Demonstrated ability to train staff and lead remote teams
  • Comfortable troubleshooting patient issues with empathy and professionalism
  • Excellent communication, organization, and multitasking skills
  • Experience with home‐based or virtual care models is a plus
